A lump sum deposited before the application, no income proof or an unrelated sponsor.
The fix. Build the balance over months, add the sponsor's ITR and salary proof, and use a parent or sibling as sponsor.
A Japan student visa has two stages: the university or language school applies in Japan for your Certificate of Eligibility (COE), which the Immigration Services Agency issues in one to three months at no charge, and you then apply at VFS for the visa itself, ₹500, issued in about five working days. Schools expect proof of about ¥2 million a year for tuition and living costs, the status of residence is granted for up to four years and three months, and students may work 28 hours a week with permission.
Who qualifies for a Japan student visa? Students admitted to a Japanese university, graduate school, vocational college (senmon gakko) or an accredited Japanese language school. The school must be an approved institution able to sponsor a COE; language schools file in bulk for the April and October intakes (January and July for some). You need proof that tuition and living costs are covered by your own funds, a sponsor or a scholarship.
What does it cost? The Certificate of Eligibility is free. The visa is ₹500 at VFS plus the service fee. Schools charge an application or screening fee of ¥20,000 to 30,000, and after arrival you pay National Health Insurance (about ¥2,000 a month for students) and, if you later extend or change status, the new residence fees of ¥33,000 (one year) to ¥75,000 (five years) at the counter, ¥27,000 to ¥65,000 online, in force since 1 October 2026.
How long does it take from India? The COE takes one to three months at the regional immigration bureau; language schools submit about five months before the intake and universities after admission. Once the COE arrives, the visa is issued in about five working days at the mission plus VFS handling. For an April start, documents to the school by October or November.

The Immigration Services Agency issues a Certificate of Eligibility when the school shows that you are admitted, that the institution is approved to host foreign students, and that your expenses are covered. Indian students most often enter through a Japanese language school (one to two years, then university or employment), a master's or doctoral program taught in English (MEXT scholarship or university-funded), or a vocational college after language study.
Funds are shown with a bank balance certificate in the sponsor's name, the sponsor's income proof (ITR, salary certificate) and a relationship document; immigration also looks at how the balance was built, so a lump sum deposited just before the application weakens the file. Language schools quote about ¥1.5 to 2 million for the first year including tuition; universities ¥2 to 3 million. Academic records must be consistent: gaps of several years since the last course, or Japanese-language courses after unrelated degrees, draw refusals unless explained.
Students may work 28 hours a week in term and 8 hours a day during holidays after obtaining permission to engage in activities outside the status, which is stamped at the airport on arrival. Spouses and children can be sponsored on a Dependent status once the student is in Japan, but immigration scrutinises dependants of language-school students closely.
| Item | Amount | Notes |
|---|---|---|
| Certificate of Eligibility | Free | Applied for by the school in Japan |
| Visa fee (Indian nationals) | ₹500 | Paid at VFS; not refunded |
| VFS Global service fee | Set by VFS | Per application |
| School screening or application fee | ¥20,000 to 30,000 | Set by the school |
| National Health Insurance | About ¥2,000 a month | Mandatory after registering your address |
| Extension or change of status (from 1 Oct 2026) | ¥33,000 (1 year) to ¥75,000 (5 years) at the counter; ¥27,000 to ¥65,000 online | Paid in Japan on approval |
Tuition is paid to the school; many language schools require the first six months or year before issuing the admission certificate. Vistolane charges the ₹500 visa fee as listed and shows the school and VFS charges separately.
| Stage | Typical time | What you do |
|---|---|---|
| School admission | 1 to 2 months | Documents to the school by October for April |
| COE processing | 1 to 3 months | School files; immigration may ask for more documents |
| Tuition and COE dispatch | 1 to 2 weeks | Pay; COE sent by courier or e-mail |
| Visa at VFS | About 5 working days plus handling | Lodge with the original COE |
| Travel | Within 3 months of COE issue | Residence card at the airport |
Start six to seven months before a language-school intake and immediately after a university admission; the COE lapses if you do not enter within three months of its date.
Work permission allows 28 hours a week, with a strict record kept by immigration: exceeding it is the most common reason extensions are refused. National Health Insurance covers 70% of medical costs. Extensions and status changes are filed at the regional bureau before expiry; from 1 October 2026 they cost ¥33,000 for a one-year permission and up to ¥75,000 for five years at the counter, less online.
Graduates of universities and vocational colleges can switch to a Designated Activities status for job hunting for up to a year, then to Engineer/Specialist in Humanities/International Services once hired, or to the Highly Skilled Professional status if they score 70 points. The Japan work visa route page covers both; permanent residence follows after ten years, or one to three years for HSP holders.

The fix. Build the balance over months, add the sponsor's ITR and salary proof, and use a parent or sibling as sponsor.
Several years since the last course, or a language course after an unrelated degree, without explanation.
The fix. Explain the gap with employment records and a study plan linking the course to your career.
Names, dates or grades differing between certificates, passport and the school's application.
The fix. Correct records and submit affidavits for discrepancies before the school files.
The school's COE approval rate is low or the program is not approved for foreign students.
The fix. Choose approved schools with strong records; consultants on Vistolane can check acceptance history.
Entry after the three-month validity, or errors in the MOFA form.
The fix. Travel within the validity and have the form checked before lodging; a lapsed COE needs a fresh application.
There is no statutory figure; schools and immigration expect proof of about ¥2 million for the first year (tuition and living), shown with a bank balance certificate, the sponsor's income and relationship proof.

Not for English-taught degree programs, which rely on English tests; language schools accept beginners with basic study (often JLPT N5 or 150 hours). Japanese-taught university programs need JLPT N2 or N1 and often the EJU.
Yes. Vistolane prepares the school and COE file, tracks the COE and files the ₹500 visa at VFS; study consultants run whole intakes through the same workspace.
